We are authorized by the Department of Tourism, Ministry of Tourism, Nepal Government to operate tourism business. Additionally, we are affiliated with the Nepal Tourism Board (NTB), the Travel Agents Association of Nepal (TAAN), and the Nepal Mountaineering Association (NMA). We have met all legal requirements and responsibilities to conduct tourism activities in Nepal, Tibet, and Bhutan.

TERMS & CONDITIONS FOR BOOKING OR TERMS OF CONTRACT:
1. THE AGREEMENT
First and foremost, we highly recommend that you carefully review the terms and conditions before booking any trips with us. By submitting the booking form, you acknowledge that you are bound by these Terms & Conditions. Please read through the Terms & Conditions, which govern the relationship between Nepal Ryokou Pvt. Ltd. (hereafter referred to as “The Company”) and you (the Client). The Company (Registration No. ___________) and the Client agree to abide by these Terms & Conditions, which will serve as the legal reference for resolving any disputes that may arise after signing the contract, during the trip(s), and until all final payments are completed.
2. TRIP BOOKING
Any product or itinerary listed in our official brochures and websites that you purchase from us will be referred to as a “Trip.” This includes treks, tours, expeditions, and other adventure and tourism-related programs.
A booking is only considered final and legally binding once the company sends a confirmation email or similar correspondence, and the contract between the client and the company becomes effective.
The company reserves the right to adjust rates before you receive your confirmation and before the contract is finalized.
Additionally, the company is not responsible for any warranties, collateral agreements, prior agreements, service descriptions, or conditions other than those specified in this agreement.
3. DEPOSIT FOR BOOKING A TRIP
A. Nepal Trips
A 10% deposit of the total trip cost is required at the time of booking, with the remaining 90% due upon your arrival in Kathmandu and before your trip departs from Kathmandu for trips to Nepal. The deposit should be paid directly to the company. For tailor-made trips, a higher deposit or even full payment may be required at the time of booking. If the deposit amount differs from what is outlined here, the company will notify you accordingly at the time of booking.
B. Bhutan / Tibet Trips
A 40% deposit of the total trip cost is required at the time of booking, with the remaining 60% to be paid upon your arrival in Kathmandu and before your trip departs for Bhutan or Tibet.
Payment Modes
Deposits for booking can be made by Bank Transfer, by Credit Card ( Visa or Master ) and Western Union.

Please download the payment form from here, print it out, and complete the required details, including your credit card information and signature. After filling out the form, kindly email it to Nepal Ryokou Pvt. Ltd. Please note that a 3-5% surcharge will apply to payments made via credit card.
- Wire / Bank Transfer Payments.

Note: – Bank service charge should be paid by the clients themselves.
Please be aware that the company is not responsible for any delays or losses that may occur during the transfer process. If the amount received by the company is less than the amount sent, you will be required to pay the difference upon arrival to cover the full cost of the product or services quoted.
Additionally, we kindly request that you email us the Bank Reference Number and Remittance Slips before initiating the transfer. Since the bank may sometimes send the funds under a different name, these details will assist us in verifying the transaction.
4. FINAL PAYMENT
- Nepal Trips
All final payments for treks, tours, expeditions, climbing, rafting, or any trips to Nepal can be made upon arrival in Nepal and before the trip departs. Payments can be made via bank transfer, cash, or credit card (MasterCard or Visa). A 4% surcharge applies to all payments made by credit card, including deposits, final balances, and trip extensions.
- Bhutan / Tibet
All final payments for trips to Bhutan and Tibet must be made at least 30 days before the tour date. Payments can be made via bank transfer or credit card (MasterCard or Visa). A 4% surcharge applies to credit card payments, which includes deposits, final balances, and trip extensions.
5. CANCELLATION OF THE TRIP BY THE CLIENT – IMPORTANT
Any cancellations by the client must be made in writing and confirmed by the company. The cancellation fees charged will depend on the date the cancellation request is received.
For Nepal trips:
- Cancellations made 7 or more days before departure will incur a 20% loss of the deposit.
- Cancellations made less than 6 days before departure will result in a 100% loss of the booked services.
For Bhutan and Tibet trips:
- Cancellations made 30 days or more before departure will result in a 50% loss of the deposit.
- Cancellations made 29 days or less before departure will result in a 100% loss of the booked services.
6. TRIP / TOUR CANCELLATION BY THE COMPANY – IMPORTANT
Nepal Ryokou Pvt. Ltd. reserves the right to cancel any booking or trip, including confirmed or guaranteed trips, prior to departure due to circumstances beyond the company’s control. These circumstances may include natural disasters, flight cancellations, strikes, weather conditions, industrial actions, wars, riots, epidemics, quarantine, government intervention, or other unexpected events.
In such cases, Nepal Ryokou Pvt. Ltd. will refund the deposited amount, minus any costs incurred in preparing for the trip.
7. PASSPORT / VISAS
Clients must have a passport with at least 6 months of validity from the date of their return. Nepalese visas can be obtained from Nepalese embassies or consulates abroad, or upon arrival at Kathmandu Airport. For more detailed information, please visit our Nepal Visa page.
8. COMPLAINTS
Complaints of any nature should be immediately lodged with the operator / leader / guide so that he may take immediate action to resolve the issue/
9. ACCEPTANCE OF RISK
Travel, particularly adventure travel, carries inherent risks and uncertainties. While Nepal Ryokou Pvt. Ltd. will do everything within our professional capacity to ensure your trip is successful and hassle-free, certain factors are beyond our control. These may include landslides, road blockages, floods, snow, political unrest, flight cancellations, delays, illness, accidents, and weather conditions. As such, we are not responsible for any damages, injuries, or even death resulting from these unforeseen circumstances.
